Preventafire is involved with the supply, installation and annual maintenance of fire protection equipment and related products, PAT Tests, Fire Safety Training and Fire Risk Assessments.
Preventafire is committed to providing excellent customer service in a highly professional manner. For us to be able to do this, as well as comply with the General Data Protection Regulation (GDPR) we need to inform you of what data we hold for you, and how we will or won’t use it.
INFORMATION WE PROCESS
We only processes business data that is required for lawful processing requirements
We only hold basic business information which is relevant to the contractural agreements between Preventafire and the business customers that we work with.
Any computer based business records are protected by password and are held only for the required legal period of time as governed by HMRC accounting and VAT practises and then they are deleted from our computer systems.
Any paper copies of documentation such as proforma’s and/or certification is only held for the required legal period of time as governed by HMRC for accounting and VAT practises and then is shredded.
Preventafire only holds the personal information of the people we need to for our own accounts and records – Past, existing and present customers/suppliers.
The business data that we hold namely:

• Address of business
• Telephone contact numbers of business
• Email address of business
• Name of contact within the business
• Telephone numbers of contact within the business
• Email address/s of contact within the business
• Site address/s of services or products provided
• Invoice address/s for services or products provided
• Website of business
We only store the personal information of the people that we need to for our own advertising, marketing and public relations – past, existing and present customers/suppliers. This information is restricted to what is necessary for our advertising, marketing and public relations – for example names, addresses and other identifiers.
We only advertise and market our own goods and services.
We only holds the personal information of job applicants and of employees that we require for our staff administration.
Preventafire only processes data for the core business purposes.
We store your data on a basic database accounts programme and on the e mail address book on our computer systems. We use this information to correspond with you.
We don’t hold any information on health, dates of birth, race, sexual orientation, religion or political beliefs therefore, any breaches would be considered low risk.
We do not share any of the information we do hold i.e. e mail address, with any outside parties.
It is extremely important that we stress that we will never pass on or sell your information

We have never had a data breach to date and we do safeguard any sensitive data as far as is reasonably practicable.
If you decide that we can hold on to your data for the foreseeable future, we would of course inform you of any data breaches if any were to occur.
If we do not receive a reply to this request we will assume that you wish to maintain the status quo and that you are happy for us to continue to correspond by e mail.
Please respond to this request at your very earliest convenience if you wish us to update or erase your information from our records and for us to arrange an alternative way of corresponding.
If you contact us advising that you do not wish us to hold onto relevant business data that we hold as detailed in this policy, then we may have to terminate any contract or annual agreement that we have with your business.
